The Construction Project Coordinator is responsible for supporting the Project Team to ensure projects are completed on-time and within budget. -This role acts as the liaison between the Project Manager(s), Design Team and internal/external partners and is responsible for document control for each project, along with cost-tracking and reporting for our capital budget. -Attention to detail, a high-level of organization, relationship-building & maintenance, the desire to deliver results, and ability to work under pressure are key attributes the right candidate must demonstrate to be successful in this role.

  • -Update/Maintain growth & maintenance capital tracking workbook based on company capital projects strategy. Review regularly with Sr. Director - Construction & Capital Projects & Director of FP&A
  • Prepare weekly reports that will be circulated to the Senior Executive Team
  • Maintain control of all project documentation and project costing on a weekly basis
  • Assist the Project Manager(s) in creating and distributing the project schedule and updates
  • Document job progress and schedule and communicate information to project team and key stakeholders
  • Coordinate project change order management, creation, negotiation between Project Manager and Owner -
  • Create, track, and manage RFI's
  • Facilitate bringing together appropriate stakeholders for effective and profitable project deliveries
  • Understand project plans and field questions as needed to ensure clear communication for all stakeholders
  • Assist Project Manager in getting building permits for the project
  • Act as gatekeeper for Project Management Software (as needed)
  • Create and distribute meeting minutes with detailed action items and requests for information
  • Assist the project team with site safety documentation and coordination
  • Create and distribute project closeout material as well as assist with all closeout activities for each project
  • Assist Project Manager with additional assigned tasks

    • 2+ years of Project Coordinator, Project Engineer, or Asst. Project Manager experience
    • Project support experience; ideally in construction environment
    • Highly organized with keen sense for attention to details and precision
    • Excellent communication skills, work well under pressure and time constraints; as well as displays positive behavior - - - - -in all interactions
    • Analytical skills: ability to review complex spreadsheets to ensure accuracy and identify discrepancies
    • Attend and participate in required meetings and trainings as needed
    • Advanced skills in MS Office with an emphasis in Excel, Word, PowerPoint and Outlook
    • Experience in MS Project or other PM software programs a plus (e.g., ProCore, CMIC, BuilderTREND, etc.)
    • Strong reporting skills; status reports, schedule updates, meeting minutes
    • Displays good judgment, confidentiality and diplomacy in handling important company information and communicating with others
    • Must be a self-starter and self-directed individual able to determine methods and procedures on new assignments with the ability to perform necessary job duties in a variety of settings including remote, in club locations or other meeting venues
    • Estimated travel time will be targeted at 10-15%

        While performing the duties of this job, the employee is frequently required to walk and stand up to 8 hours/day and/or sitting for extended period of time. Employees may be exposed to cleaning chemicals or airborne particles and will be required to wear designated PPE (Personal Protective Equipment) as directed. Employees are occasionally required to use hands and fingers for handle or feel; occasional reach, push and pulling with arms and hands; occasional climb, balance, stoop, kneel, crouch or crawl; and occasional reach and twist, including side-to-side movements. The employee may be required to occasionally lift, carry or move up to 25 pounds and may seldom be required to lift, carry or move 26-50 pounds.
        During the COVID-19 pandemic: All In-Shape Team Members working in the clubs may be asked to assist with greeting members to perform temperature checks and health screens, ensure members practice physical distancing and monitor cleaning of equipment after each use. Detailed instructions will be provided at time of hire.
        In-Shape Team Members will be required to comply with company policies regarding the use of PPE (personal protective equipment), by following instructions and outlined safety guidelines, to protect our team and club members. Club Safety training and equipment will be provided. Team Members are to report to management, or designated team member, any safety risks or potential risks identified in the work environment.
